Fort Coombs Armory Rental Terms and Conditions
By submitting this reservation, you acknowledge that you have read, understood, and agree to the following terms and conditions governing the rental of the Fort Coombs Armory, located at 66 4th Street, Apalachicola, Florida 32320.
Reservation Information
The reservation information, contact information, event details, rental dates, and payment information submitted through this online booking system become part of this Rental Agreement.
The Renter is responsible for ensuring all information provided is accurate and agrees to promptly notify Franklin County of any changes to contact information, event details, or reservation information.
Event Conclusion Requirements
All events must conclude, and the Facility must be closed, secured, and trash removed by:
12:00 a.m. on weeknights (Sunday through Thursday)
1:00 a.m. on weekends (Friday and Saturday)
Facility Access
A key box is located on the side gate of the Facility. The access code and additional event instructions will be provided by Franklin County prior to your event.
Rental Rates and Payment Terms
Rental fees are established by the Franklin County Board of County Commissioners and displayed during the reservation process.
Reservations made more than thirty (30) days before the event date require a deposit equal to fifty percent (50%) of the rental fee. The remaining balance will be automatically charged to the payment method on file approximately thirty (30) days prior to the event date.
Reservations made within thirty (30) days of the event date require payment in full at the time of booking.
All credit card processing fees are non-refundable.
Cleanup and Trash Disposal
The Renter is responsible for removing all trash generated during the event.
A trailer located outside the Facility is designated for disposal of bagged event trash. Outside trash cans shall not be used for event waste.
Rental Checklist
A rental checklist is provided at the Facility and must be completed at the conclusion of the rental period.
The Renter is responsible for verifying that all items are present before and after the event and must notify County staff immediately of any missing or damaged items.
Missing items, damages, or deficiencies may result in additional charges and may affect eligibility for future rentals.
Restricted Areas
The staircase leading to the second floor and the second floor itself are closed to public access pursuant to directives of the State Fire Marshal.
Access to the staircase or second floor by the Renter, guests, vendors, or invitees is strictly prohibited.
Violation of this restriction may result in immediate termination of the event, removal from the Facility, assessment of damages, and denial of future rental privileges.
Damages
The Renter is responsible for any damage to the Facility, its contents, or surrounding property caused by the Renter, guests, vendors, or invitees.
The Renter agrees to pay all costs associated with repairs or replacement of damaged property, including a minimum charge of $250.00 for materials and labor, excluding normal wear and tear.
Decorations and Alterations
Unless approved in writing by Franklin County, the Renter shall not staple, nail, screw, drill, or otherwise attach items to any surface within the Facility.
Tape may be used for decorations provided all materials are removed without residue upon conclusion of the event.
Cancellation Policy
All cancellation requests must be submitted in writing to: melissaw@franklincountyflorida.gov. Cancellations received at least thirty (30) days prior to the reservation date are eligible for a refund of amounts paid, less applicable credit card processing fees.
Cancellations received fewer than thirty (30) days prior to the reservation date shall result in forfeiture of all amounts paid.

Agreement and Electronic Signature
